Admin-deployed workflows using the My Notes trigger

Account owners and admins can deploy and enforce automated workflow runs for their users using the My Notes trigger, which activates whenever a note is created or updated. Admins can deploy these workflows organization-wide, meaning all users benefit from automated post-note processing without any individual configuration required, or among selected users or groups. Supported downstream actions include task creation, notifications, and data capture, etc. This allows organizations to standardize how notes are acted upon across teams consistently.

Enhancements to BAA and K-12 compliance controls

Accounts with a signed Zoom Business Associate Agreement (BAA) can use ZoomMate as a covered service under that BAA. BAA Admins can restrict available connectors and skills, configure data residency boundaries, and set retention periods for conversation history and agent memory. Custom skill import for AI reasoning nodes in workflows

Users can add custom skills to AI reasoning nodes in workflows through multiple import methods: pasting skill content directly, uploading a local .md file or a skill folder containing .md files, or specifying a public GitHub repository to import all available skills at once. Custom skills let users define how the reasoning node approaches and completes tasks, aligning its behavior with domain-specific knowledge or organizational methodologies. The interface communicates format constraints during the addition process, as only markdown-based skills without code scripts are supported in this release. Once imported, the reasoning node applies the custom skills when processing tasks within the workflow.

Admin control over workflow action nodes and triggers by user group

Account owners and admins can define which workflow action nodes and triggers are available to specific user groups or all users across the organization. Permissions are configured at the group level, restricting access to only the integrations and triggers that have been explicitly approved for each group. When users open the workflow builder, they see only the action nodes and triggers their admin has permitted. This control supports organizations in maintaining governance over automation workflows by limiting user access to sensitive systems and data connections.

Users can connect ZoomMate with a growing set of third-party tools through a phased connector expansion. For the August release, ZoomMate supports Canva, Coda, Zendesk, Asana, Box, and Microsoft Teams. Future phases will expand the available integrations to include additional tools across engineering, design, enterprise collaboration, and other specialized workflows.

Account owners and admins can access an expanded AI usage insights across their organization using the Zoom AI Dashboard. The dashboard includes:

• Expanded AI feature coverage: Dashboard now includes usage data for ZoomMate features: ZoomMate Agent, Custom Agent, Workflows, Custom AI, and Agentic Search, in addition to all existing AI features in Workplace.
• Adoption Summary: Adoption funnel showing licensed users and active users.
• Redesigned KPI section: Replaces the previous carousel layout with a scalable design that supports a larger number of metrics, including new KPIs for ZoomMate and My Notes.
• Enhanced historical trending: Date picker with last week, last month, last quarter, and last year presets; CSV export support.

New HTML page node and custom script node in workflows

Users with a ZoomMate license can add a custom script node to their workflows to execute custom Python code for advanced data transformation, cleanup, and processing tasks. An HTML page node is also available, allowing users to generate rendered HTML pages for richer report visualization directly within a workflow. ZoomMate license holders can use the built-in AI assistant to automatically generate Python code for the custom script node and produce HTML pages from workflow data, reducing the need for manual coding. These nodes extend workflow capabilities beyond standard built-in functionality, enabling complex business logic and custom reporting without leaving the workflow builder.

Enhancements to workflow creation using natural language prompts

Users can create workflows directly from natural language prompts within the Conversational UI, removing the need for manual automation configuration. When a prompt is ambiguous, the Conversational UI asks targeted clarification questions to capture the correct intent before generating the workflow. Once the workflow is built, the Conversational UI performs a self-verification step to validate that it is logically sound and ready to run. The resulting workflow is presented to the user as a functional, executable automation.

Enhancements to workflows in My Notes on mobile

Users can attach, review, and approve workflows directly within My Notes on mobile after meetings. When opening a My Notes entry with an attached workflow, the workflow status card is displayed in an expanded view by default. The mobile interface includes larger controls optimized for small screens, consistent Workflows tab behavior, and an adaptive UI for Human-in-the-Loop cards.
